Creating professional invoices is a critical task for freelancers, small business owners, consultants, and anyone who provides products or services. A well-formatted invoice communicates professionalism, clearly states payment terms, and serves as a legal financial record. PDFLocal's Invoice Generator allows you to create fully customized, professional-grade PDF invoices directly in your browser β€” complete with your company logo, line items, automatic tax calculation, discounts, and payment details β€” without signing up for any service or paying any subscription fee.

Unlike subscription-based invoicing platforms that store your client data and financial records on their servers, PDFLocal generates invoices entirely on your device. Your client names, billing amounts, tax rates, and business details never leave your computer. The generated PDF is created using the pdf-lib.js library and html2pdf.js, and is downloaded directly to your device ready for sending.

How to Create a Professional Invoice

  1. Enter Your Business Details: Add your company name, address, GST number, email, and optionally upload your company logo.
  2. Enter Client Details: Add the client/customer name, billing address, and contact information.
  3. Add Invoice Details: Set the invoice number, invoice date, and due date.
  4. Add Line Items: Add each product or service with description, quantity, and unit price. The tool calculates subtotals automatically.
  5. Set Taxes & Discounts: Apply GST, VAT, or custom tax percentages and any applicable discounts.
  6. Download PDF: Click "Generate Invoice" to create and download a professionally formatted PDF invoice.

Frequently Asked Questions

Is this invoice generator suitable for GST invoices in India?

Yes. PDFLocal's invoice generator supports all fields required for a valid GST tax invoice under Indian GST law. You can enter your GSTIN (GST Identification Number), the customer's GSTIN, HSN/SAC codes for each line item, and apply CGST, SGST, and IGST tax rates as applicable. The invoice output includes all mandatory fields required by the GST Council for a valid tax invoice, including the invoice serial number, date of issue, supplier GSTIN, and itemized tax breakdown. For inter-state supplies, use IGST; for intra-state supplies, split tax into equal CGST and SGST amounts. Always verify your specific GST requirements with a qualified chartered accountant as tax regulations may change.

Can I add my company logo to the invoice?

Yes. The invoice generator supports uploading your company logo directly in the tool. Click the "Upload Logo" button to select an image file (PNG, JPG, or SVG are supported). The logo is displayed in the top-left corner of the invoice template. For best results, use a logo image with a transparent background (PNG format) and a minimum resolution of 200x200 pixels. The logo is embedded directly into the downloaded PDF and is not uploaded to any external server β€” it is processed entirely in your browser's memory. Your logo image is cleared from memory as soon as you close the tab.

Can I save an invoice template and reuse it later?

Yes. PDFLocal saves your invoice settings (company name, address, GSTIN, email, bank details, and default tax rates) in your browser's localStorage. These settings are automatically restored the next time you open the invoice generator on the same device and browser. This means you only need to enter your business information once, and it will persist across sessions. Client-specific information (client name, address, line items) is not saved by default, since each invoice has unique client and billing details. This localStorage data remains exclusively on your device and is never transmitted anywhere.

How do I create recurring invoices for monthly clients?

While PDFLocal does not have a built-in recurring invoice scheduler (which would require a server), you can easily create recurring invoices manually. After generating your first invoice for a client, note down the invoice number. For next month, open the invoice generator β€” your business details will be pre-filled from localStorage. Update the invoice number (increment by 1), change the invoice date and due date to the current billing period, adjust any line items if needed, and download. This typically takes under 2 minutes once your template is set up. If you handle many clients with recurring monthly invoices, consider keeping a master template document with all client details that you can quickly reference.

Can I add multiple tax rates to different line items?

Currently, PDFLocal's invoice generator applies a single tax rate to all line items collectively. If you need to apply different GST rates to different items (for example, 5% GST on food items and 18% on processed goods), we recommend creating separate invoice sections or using the "Note" field to manually specify the per-item tax breakdown for reference. A per-line-item tax rate feature is planned for a future update. For businesses with complex multi-rate invoicing needs, this manual approach or the use of dedicated accounting software (like Zoho Invoice or Tally) may be more appropriate.

Does the invoice include a QR code for payment?

You can add a payment QR code manually by generating your UPI or payment gateway QR code using the QR Code Generator tool, saving it as an image, and then uploading it into the invoice's "Additional Notes" section or as a custom image stamp using the Edit PDF tool after downloading the invoice PDF. A built-in UPI QR code generator integrated directly into the invoice template is on our feature roadmap. For now, this manual approach effectively achieves the same result.

Is the invoice format accepted by banks and government authorities?

PDFLocal generates standard PDF invoices that meet the visual and information requirements of most banking, accounting, and government formats. The invoice includes all standard fields (seller details, buyer details, item descriptions, HSN codes, tax rates, totals, and GSTIN). However, for certain specific government submission portals (such as GeM portal, government tenders, or e-invoicing portals that require digital signatures), you may need to additionally apply a digital signature certificate (DSC) using a dedicated DSC signing tool, or comply with specific e-invoicing API requirements under GST Rule 48(4). For standard business transactions, service agreements, and typical B2B/B2C billing, PDFLocal's invoice format is fully appropriate.

Can I create estimates or quotations using this tool?

Yes. You can use the invoice generator to create estimates, quotations, purchase orders, or proforma invoices by simply changing the document title in the header field from "INVOICE" to "QUOTATION", "ESTIMATE", "PROFORMA INVOICE", or "PURCHASE ORDER". All other fields work identically. Many small businesses use this approach to create professional-looking quotations using the same template as their invoices, maintaining a consistent visual identity across all client-facing financial documents.
