How to Create Professional GST-Ready Invoices in India
A complete guide for freelancers, consultants, small business owners, and service providers on creating legally compliant, professional invoices β and how to do it for free without any accounting software.
Why a Professional Invoice Matters
An invoice is more than just a payment request. For businesses registered under GST (Goods and Services Tax) in India, a tax invoice is a legally mandated document that forms the basis of Input Tax Credit (ITC) claims by your clients. A poorly formatted or incomplete invoice can result in your client being unable to claim their ITC, which reflects poorly on your professionalism and may delay payment. For freelancers and independent consultants, a well-structured invoice communicates seriousness, establishes clear payment terms, and serves as official financial record for tax filing purposes.
Mandatory Fields on a GST Tax Invoice
Under Rule 46 of the CGST Rules, 2017, a valid GST tax invoice must contain the following information:
- Supplier's name, address, and GSTIN β Your full registered business name, office address, and 15-digit GSTIN number.
- Invoice number β A unique sequential invoice number. Each financial year can restart from 001. The number must not exceed 16 characters.
- Date of invoice β The date the invoice is issued, which determines the tax period for filing.
- Recipient's name, address, and GSTIN β For B2B transactions, the buyer's GSTIN is mandatory for them to claim ITC. For B2C transactions, GSTIN is optional.
- HSN/SAC code β The Harmonised System of Nomenclature code for goods, or Service Accounting Code for services. Mandatory for businesses with turnover above βΉ5 crore (6-digit code required).
- Description of goods or services β Clear itemised description of each product or service supplied.
- Quantity and unit of measurement β For goods. For services, a description of the service scope is sufficient.
- Taxable value β The value of supply before tax is added.
- Rate and amount of CGST, SGST, or IGST β Applied separately. CGST + SGST for intra-state; IGST for inter-state supplies.
- Total invoice value β The final amount payable including all taxes and adjustments.
- Place of supply β State code of the recipient's location, critical for determining IGST vs CGST/SGST applicability.
- Whether tax is payable on reverse charge β Mark "Yes" or "No" (relevant for certain B2B transactions).
- Supplier's digital or manual signature β Required for authentication of the invoice.
CGST vs SGST vs IGST: Which Tax to Apply?
The type of GST to apply depends entirely on the location of your business and the location of your customer:
- Intra-state supply (both supplier and recipient in the same state): Apply CGST + SGST at equal rates. For example, 18% GST = 9% CGST + 9% SGST.
- Inter-state supply (supplier and recipient in different states, or any export): Apply IGST at the full rate. For example, 18% GST = 18% IGST.
- Export supply: Either zero-rated with IGST = 0%, or export under bond/LUT without payment of tax.
Invoice Numbering Best Practices
Many freelancers and small businesses use inconsistent invoice numbering, which can create issues during GST audits. Best practices include: Start each financial year (April 1) with a fresh sequence (e.g., 2025-001, 2025-002). Include the financial year in the number to make it self-identifying. Never skip or reuse numbers. Never issue two invoices with the same number in a financial year. Consider including a client code prefix for large businesses (e.g., CLI-2025-001).
Payment Terms That Protect You
Always include explicit payment terms on every invoice: Due date (Net 15, Net 30, or a specific date). Late payment charges (typically 1.5-2% per month on the overdue amount). Accepted payment methods (bank transfer, UPI, cheque). Your bank account details (Account name, account number, IFSC code, bank name) to make payment as easy as possible for the recipient.

Common Invoice Mistakes to Avoid
- Missing the recipient's GSTIN on B2B invoices (prevents them from claiming ITC)
- Applying CGST+SGST for an inter-state supply (should be IGST)
- Using an invoice date in a previous tax period without proper justification
- Forgetting to mention the place of supply
- Not mentioning whether reverse charge applies
- Exceeding 16 characters in the invoice number
